Practical guide
Identify the agency that keeps the records and use its official CPRA procedure or published contact channel. The Sheriff, CCWD and several districts offer special records forms.
Example: California Public Records Act Request — road maintenance contracts, 2024–2026.
Name the documents or categories sought, date ranges, involved departments, projects and relevant search terms. A request for records is different from asking an agency to create an explanation.
Ask for searchable electronic copies and the existing native file format where available, including spreadsheet files and attachments. Consider rolling production for larger requests.
Ask for the asserted legal basis for withholding and all reasonably segregable nonexempt portions.
Save receipt confirmation, correspondence, determinations, extensions, fee estimates and each delivered batch. Follow up with a date-specific, polite message if needed.

Government Code section 7922.535 generally requires the agency to determine within 10 days whether the request, in whole or part, seeks disclosable records in its possession, and to notify the requester. In unusual circumstances, a written notice can extend that determination time by up to 14 additional days. This does not mean every record must be delivered within 10 days.
Routine CPRA requests generally do not require proof of identity. Requests for confidential case records, student information, vital records and certain personal information may have different eligibility, form or verification requirements. Do not include unnecessary sensitive data in a general request.
